The theory of automation is great, but practical examples make the real difference. In this article, we share 10 real n8n workflows that we have built for our clients or for our own internal use. Each one solves a concrete problem and can be adapted to your company's needs.

    1. Automatic Lead Management from Typeform to CRM

Trigger: new submission on Typeform. Actions: extraction of form data, check if the lead already exists in the CRM (HubSpot/Salesforce) by email, if new → contact creation with all fields mapped, addition to an onboarding email sequence, Slack notification to the relevant sales rep. Result: zero manual data entry, lead contacted within 5 minutes of form submission.

    2. Automatic Weekly Report from Google Analytics

Trigger: schedule every Monday at 8:00 AM. Actions: API call to Google Analytics 4 for sessions, conversions, and revenue of the previous week, comparison with the previous week and the same period last year, HTML report generation, email delivery to managers, publication on Slack in the #analytics channel. Result: managers receive insights every week without opening GA.

    3. Two-Way Synchronization between Shopify and ERP

Trigger: webhook on new Shopify order. Actions: order creation in the internal ERP (via REST API), warehouse inventory update, if paid → automatic invoice generation, personalized confirmation email to the customer with delivery estimate. Result: elimination of double order management between e-commerce and back-office.

    4. Brand Mention Monitoring on Social Media

Trigger: schedule every hour. Actions: brand mention search on Twitter/X and Reddit via API, filter for negative sentiment (using an AI node with GPT), for negative mentions → immediate Slack alert with link to the original post, saving all mentions in a Google Sheet for historical analysis. Result: customer care team responds to criticism within hours instead of days.

    5. Document Approval Process with Digital Signature

Trigger: new file uploaded to a specific Google Drive folder. Actions: email notification to the manager with document link, wait for approval (webhook from response form), if approved → send for digital signature via DocuSign, once signed → move to archive folder and notify the requester. Result: trackable, automatic approval process without manual emails.

    6. Automatic Lead Enrichment with Company Data

Trigger: new contact in CRM without complete company data. Actions: email domain lookup on Clearbit API to obtain: company size, industry, estimated revenue, technologies used, LinkedIn profile. Automatic update of the CRM record with this data. Notification to the sales rep with a summary. Result: sales reps always have a complete profile before calling.

    7. Google My Business Review Management

Trigger: polling every 4 hours on Google My Business API. Actions: detection of new reviews, sentiment analysis with AI (positive/neutral/negative), for negative reviews → urgent Slack alert with AI-suggested reply draft, for positive reviews → automatic personalized thank-you response, tracking all reviews in a database. Result: average response time reduced from days to hours.

    8. New Employee Onboarding Pipeline

Trigger: new record in the HR database 'employees' table. Actions: automatic creation of corporate email account, invitation to Slack workspace with correct channels, account creation in company tools (Notion, Jira, etc.) via API, welcome email with all links and credentials, schedule reminder for manager for check-in at 30/60/90 days. Result: standardized onboarding with zero forgotten steps.

    9. Automatic Blog Content Generation

Trigger: weekly schedule. Actions: extraction of search trends from Search Console and competitors, generation of 5 article briefs with GPT-4 based on the best-performing topics, delivery to editorial team via email with suggested priorities, tracking in a Notion database for editorial planning. Result: content team always has data-validated ideas, not opinions.

    10. Business KPI Anomaly Alerts

Trigger: schedule every morning at 7:00 AM. Actions: reading key KPIs from the data warehouse (sales, conversions, CAC, churn), comparison with the last 30 days' values, statistical anomaly calculation (standard deviation), if a KPI is outside normal ranges → immediate Slack alert and email to managers with context and possible causes. Result: problems are detected the same morning, not at the end of the month.

    How to Get Started

These 10 examples demonstrate the versatility of n8n for very different use cases. Our advice for beginners: choose the workflow that solves the most urgent problem in your company, implement it in a simplified version, measure the results, then expand it.
